Automated documentation without effort = the digital proof of cleaning and hygiene:The fast pace of building cleaning makes it necessary for the cleaning staff to be able to concentrate on the essentials: cleaning! Many employees with a migration background work in the cleaning department, which sometimes makes legible and reasonable documentation very difficult, both for the customer and for the service provider itself.Various test phases, including using NFC chips in the rooms, which had to be scanned by the cleaning staff after cleaning, have shown that this only works reliably to a certain extent.Even if the approach and the operating procedure were good, the main source of error turned out to be the operation by the employees. Together with partners, a system was developed that creates the documentation without involving the employees.With cleanli there is a fully automated, digital and self-sufficient detection solution. Knowledge of languages or operation by cleaning staff is not required.Documentation, such as HACCP lists or other proofs of hygiene, are automatically recorded digitally. The filing, archiving and provision of evidence on paper is no longer necessary. The proofs can be accessed up to the minute via an app, a tablet or a computer on the Internet.An A5-sized display (ePaper) is available for documenting the cleaning process for users and can be placed in any room to be cleaned.The system is battery-operated and only needs to be recharged or replaced in the sensors every two years.The cleaning staff themselves do not have to do anything. All the required information is collected automatically using an Android cell phone with a WLAN or Internet connection, or a small pocket-sized device.The costs are calculated as a flat rate based on the number of sensors/rooms/stairwells.When the cleaner passes through the door to enter the room, the mobile phone in the cleaners pocket registers this and starts the time measurement. When leaving the room, the time is stopped and the shift is reported as 100% "Visual inspection" or "Cleaned". The cleaner does not have to operate the app, everything happens automatically. Entering the room multiple times is recorded and added to the cleaning time. The visitor/guest is always informed about the last cleaning via the posted e-paper and has a safe feeling.As soon as the mobile phone is connected to the Internet or a WLAN, the data is transmitted to the portal for evaluation. In the third basement without mobile phone reception, the cleaning times are temporarily saved in the mobile phone and then transmitted later.The portal is deliberately kept clear and easy to use. The cleaning times are displayed in a user-friendly manner in the traffic light colors "red", "yellow" and "green". The portal is available in a simple form for the customers facility managers and in more detail for their own foremen/customer managers.The locations, buildings, levels and rooms can be created manually in the portal. The customers room book can be imported once or regularly and automatically compared with the existing information. The user always has an up-to-date status of the rooms, cleaning and the agreed cleaning cycles without having to enter data twice.All data is available for download as an Excel file or PDF for evaluation. Simple graphical evaluations are integrated directly into the user interface and allow quick orientation about the current cleaning status.All overviews can be predefined as reports and can be called up with one click. Scheduling and regular sending, e.g. at the beginning of the week for the last week, at the end of the month for the previous month is possible
